Q1

How does migration from my current clinic software work?

Honest answer up front: we have not yet productised a migration tool. For Founder's Circle clinics, migration is hands-on and done by a founder, not a self-serve wizard.

The path we've been running with early clinics: you send us an export from your current system (CSV, XLSX, SQL dump, or whatever your vendor will give you), we write the mapping into Dentilier's schema, we import into a sandbox account, and you verify a sample of records before we promote it to your live account. If your current system locks down its data, we'll tell you honestly what's possible before you commit.

What we don't yet have: a one-click importer for any specific competitor. That's on the roadmap once we've seen the same source system twice. Tell us what you're on today and we'll be straight about timelines.

What happens to my data if Dentilier shuts down or I cancel?

You keep your data. Always. Two specific commitments:

  • If you cancel: you have a 30-day window to export your full dataset (patients, encounters, invoices, attachments). After that we delete your data from active systems, subject to legal retention obligations (e.g. 7-year medical records retention).
  • If we shut down Dentilier: our Terms commit to at least 90 days' written notice and full data export support before any service is wound down. You won't wake up one Monday to a 404.

Can I export all my patient records? In what format?

Yes — full export, any time, no fee. You can request an export from inside the system or by emailing support.

  • Structured data (patients, appointments, encounters, invoices, payments, inventory): CSV or JSON, your choice.
  • Clinical records (treatment notes, treatment plans, consents): PDF per patient for printing or external storage; JSON for machine portability.
  • Attachments (X-rays, intraoral photos, scanned documents): original files in a folder structure organised by patient.

Do you integrate with intraoral cameras, X-ray sensors, or panoramic imaging?

Not at the driver level — yet. What works today: you can attach images and X-ray files to a patient record by drag-and-drop or file picker, including JPG, PNG, PDF, and DICOM (.dcm) files. They're stored against the patient and viewable from the encounter screen.

What is not built: one-click capture from a sensor or intraoral camera directly into the record. If you have a specific vendor in mind (Carestream, Planmeca, Sirona, MyRay, Owandy, etc.), tell us during your demo — we'll prioritise integrations based on what Founder's Circle clinics actually use, but we won't pretend we've shipped them already.

Is my data hosted in Malaysia?

Today: data is hosted on Supabase, which runs on AWS. Our default region is Asia Pacific (Singapore — ap-southeast-1), the closest AWS region to Malaysia.

AWS's Asia Pacific (Malaysia — ap-southeast-5) region became generally available recently; migration to that region is on our roadmap but not yet committed to a date. If data residency in Malaysia is a contractual requirement for your clinic, tell us during onboarding and we'll discuss timing before you sign.

How is Dentilier different from Klinify, DentaCloud, or other dental software?

We won't pretend to give you an impartial answer here — but a few things are objectively true and worth knowing:

  • Built in Malaysia, for Malaysia. LHDN MyInvois e-invoicing is shipped and submitting to production. PDPA and Medical Act 1971 retention rules are enforced at the database layer, not just policy. BM and Mandarin reminder templates are on the roadmap with WhatsApp reminders, not shipped yet.
  • Modern interface. Fast, keyboard-friendly, designed in 2026 — not 2012.
  • Founder's Circle pricing. Locked forever for our first 10 clinics. Not a discount that expires.
  • Direct line. You can WhatsApp the founders. We answer.

The honest counterpoint: other systems have been around longer and have more customers using them. If you need a system that 200 clinics have battle-tested, that's not us yet — that's the trade-off of being early.

What does setup and onboarding actually look like?

For Founder's Circle clinics, onboarding is hands-on and personal. The shape of it:

  • Day 0 — kickoff call (30–60 min): we map your current workflow, identify what to migrate, agree a go-live date.
  • Day 1–3 — data migration: we import your patient records, appointment history, and outstanding balances. You verify a sample.
  • Day 4–5 — configuration: branches, dentists, working hours, treatment catalogue, pricing, invoice templates, LHDN MyInvois credentials.
  • Day 6–7 — staff training (90 min, on-site or remote): one session for the front desk, one for clinical staff.
  • Go-live: a founder is on standby (WhatsApp) for the first week. Issues get fixed the same day where humanly possible.

Smaller clinics often compress this into a single week. Larger groups stretch it across branches.

Q8

Who owns the patient data — me or Dentilier?

You do. Always. The clinic.

Under Malaysia's PDPA 2010, the clinic is the data controller of its patient records. Dentilier Technology is the data processor — we host and process data on your instruction. We do not use patient data for our own purposes, do not sell or share it with third parties (other than the infrastructure providers required to run the system, under strict processing agreements), and you can export and delete your data at any time.

Is Dentilier compliant with the Medical Act 1971 and PDPA?

Malaysia doesn't currently issue a single "clinic software certification" stamp, so the honest framing is: we build to the underlying obligations, and we enforce them at the database level rather than just in policy documents.

What's enforced in the product today:

  • Medical Act 1971 retention — patient records cannot be deleted inside the retention window (7 years for adults; until age 25 for minors) except by the clinic owner. Enforced by row-level security policies, not just an application check.
  • PDPA 2010 — consent capture, patient access requests, breach notification within 72 hours, and the clinic as data controller / Dentilier as data processor.
  • LHDN MyInvois — UBL XML generation and submission to LHDN's production API, with status polling, PDF rendering, and email delivery.
  • Security controls — encryption in transit and at rest, role-based access, full audit logging, and per-clinic isolation at the database layer.

What we are not: ISO 27001 / SOC 2 / MMA DSAP certified. Those audits are on our roadmap, not shipped. If your insurer or auditor asks for one specifically, ask us early and we'll be straight about whether we can clear their bar.

What's your uptime / what happens during downtime?

We don't publish an uptime number we can't back up. Our infrastructure (Supabase + AWS Asia Pacific) targets > 99.9% availability, and that's the ceiling we work toward. We have not offered a contractual SLA on standard plans; Enterprise customers can negotiate one in writing.

If the system is unavailable, our practical commitments are:

  • A status page (planned) where you can check current state at any time.
  • Notification by WhatsApp or email when we're working on an incident.
  • A read-only printable backup of today's appointments is something we're building so clinics aren't blind during a rare outage.

Honest framing: we're a young product. If your clinic literally cannot run for even 30 minutes of cloud downtime per quarter, talk to us about offline-resilience plans before signing on.

Q11

Can I use Dentilier on iPad / mobile?

Yes — Dentilier is a responsive web app. It runs in any modern browser on desktop, laptop, iPad, or phone, and reflows to the viewport.

The practical setup we recommend: front desk on a desktop or laptop (more screen real estate for the calendar and queue), dentists on an iPad in the operatory using Safari in full-screen. Most of the dashboard fits cleanly on iPad in landscape; the calendar and analytics views are denser on a larger screen.

What we have not shipped: a native iOS / Android app, tablet-specific gestures, or an offline mode. We'll build a native app when offline-first patient lookup is meaningfully better than what the browser already gives us — not before.

Q12

How do WhatsApp reminders work — do I need my own WhatsApp Business account?

Honest status: WhatsApp and SMS reminders are not yet shipped. The rest of Dentilier is live, but reminders are the next major feature on our roadmap. Founder's Circle clinics will be in the first cohort to use them.

The shape we're building:

  • You won't need to set up your own WhatsApp Business account. We'll operate the sender on your behalf, with messages branded to your clinic.
  • Pre-approved templates (24h-before, 1h-before, recall, treatment follow-up).
  • Patient replies flow back into the appointment record so the front desk doesn't miss them.
  • SMS fallback when WhatsApp delivery fails.

What we haven't finalised yet: the exact sender architecture (shared Dentilier sender vs per-clinic onboarded number), included monthly message allowance per plan, and pass-through pricing for messaging above that allowance. We'll confirm all three with Founder's Circle clinics before turning the feature on — you won't be billed for something you didn't agree to.
